Key takeaways
- Run your studio's WhatsApp like a front desk: business profile, catalogue, quick replies, labels, and greeting and away messages.
- Use WhatsApp at every stage of a job: booking confirmation, pick-up and drop, progress photos, delivery and care instructions.
- Maintenance reminders and review requests bring repeat work, but send them only to customers who agreed to hear from you.
- Broadcast lists reach only people who have saved your number, and each list holds up to 256 contacts.
- When several people need to answer one number, or chats wait overnight, you have outgrown the basic app.

Your customers already message your studio on WhatsApp. They ask the price, send a photo of a scratch, check whether the car is ready and share your number with a friend who wants a coating.
Car detailing WhatsApp marketing is not about blasting offers to every number in your phone. It is about running every job through WhatsApp properly: fast answers, clear confirmations, progress photos, timely reminders and a review request at the end. Done well, it brings repeat work from customers you already have.
This guide covers how to set up the WhatsApp Business app, how to use it at each stage of a job, how to respect opt-in, and the signs that your studio has outgrown the free app.
Set up the WhatsApp Business app like a front desk
WhatsApp describes the Business app as free to use and built for small businesses that talk to customers from a single device. Its tools are simple, but they cover a lot once you set them up.
| Tool | What it does | How a detailing studio can use it |
|---|---|---|
| Business profile | Shows your description, hours, address and website | Add your map location, Sunday hours and the services you offer |
| Catalogue | Lists products or services, up to 500 items; price is optional | One item per service with a photo: coating, PPF, interior dry-cleaning, maintenance wash |
| Quick replies | Saved messages you insert by typing "/"; up to 50 | Location, timings, "what is ceramic coating", care instructions, inspection booking |
| Labels | Tags to sort chats; up to 20 | New enquiry, inspection booked, in studio, delivered, maintenance due |
| Greeting message | Welcomes new customers when they start a chat | Thank them and ask for the car model and service |
| Away message | Replies when you are busy: always, on a schedule or outside business hours | Say when you will reply and what details to send meanwhile |
| Short link and QR code | Opens a chat with you in one tap | Instagram bio, Google profile, visiting cards, reception desk |
Two messages are worth writing carefully, because every new customer sees them. A greeting message could read:
Hi, thanks for messaging [studio name]! Please share your car model and the service you are looking for (coating, PPF, cleaning or wash), and we will reply shortly.
And an away message:
Thanks for your message! We are working on a car right now and will reply by [time]. Meanwhile, please share your car model and a day that suits you for an inspection.
Keep the studio phone connected to the internet. WhatsApp's help centre notes that the device needs an active connection to send away messages.
Next, save the answers you type every day as quick replies, each with a short keyword so they come up when you type "/":
- /location: address, map pin and a landmark.
- /timings: working hours, Sunday hours and holiday closures.
- /coating: two lines on what ceramic coating does and what changes the price.
- /ppf: the same for PPF, with your coverage options.
- /inspection: how the inspection works, with two slots to choose from.
- /care: your written care instructions for the product you use.
- /review: your Google review link with a thank-you line.
Finally, make labels a daily habit. Each morning, open the "inspection booked" and "maintenance due" labels and work through them. It is a simple follow-up system, and it costs nothing.
Car detailing WhatsApp marketing at every stage of a job
The real marketing happens during the job. A customer who gets clear updates, photos and a proper handover is more likely to come back and recommend you.
1. Booking confirmation
Confirm every booking in writing, with the date, time, service, address and a map pin. Then send a short reminder the evening before.
Hi Neha, your ceramic coating is booked for Saturday at 10 am at [studio name], [map link]. The car will stay with us for [number] days. Please remove valuables before drop-off. Reply YES to confirm, or call us to change the slot.
Neha is an example name. Change the details to suit your studio.
2. Pick-up and drop
If you offer pick-up, share the driver's name, number and time window. At pick-up, send the customer photos or a short video of the car's existing scratches, dents and wheel scuffs. It takes a minute and prevents arguments later about what was already there.
3. Progress updates with before-and-after photos
Send two or three updates during the job: after the wash and decontamination, during paint correction (a half-corrected panel shows the difference well), and after the coating or film. Customers who see the work understand what they are paying for.
These photos make good Instagram content too. Ask the customer before posting, and blur the number plate.
4. Delivery and care instructions
At delivery, send the care instructions in writing, the invoice and the warranty details for the product you used. Then ask one question: "Can we send you maintenance reminders here on WhatsApp?" For customers who prefer Hindi: "Kya hum aapko yahin WhatsApp par maintenance reminders bhej sakte hain?" Give everyone who agrees a "reminders OK" label.
5. Maintenance reminders
Reminders bring customers back for maintenance washes, inspections and interior cleaning. Time them to the care schedule of the product you used, because these differ by brand. Our guide to ceramic coating and PPF maintenance reminders has a full calendar and message templates.
6. Review requests
On the day of delivery, send your Google review link, and one reminder about a week later if they have not reviewed. Google's own help page lists a WhatsApp message as one way to send review requests. Do not offer a discount or a free wash in return; Google does not allow incentives for reviews. Our guide to Google reviews for detailing studios covers timing, templates and replies.
Respect opt-in and do not spam
WhatsApp's Business Messaging Policy is clear. You may contact people only if they have given you their number and agreed to receive messages from you. You must respect every request to stop, whether it comes on WhatsApp or elsewhere. And the policy says not to "spam, or surprise people" with your messages.
In a detailing studio, that translates into a few habits:
- Ask at booking or delivery, in plain words, and note the answer with a label.
- Separate service messages from offers. A customer may want maintenance reminders but no discounts. Meta's developer guidance lists separate opt-in for each category of message as one way to make sure customers expect what you send.
- Give an easy way out: "Reply STOP if you'd rather not get offers from us." Then honour it.
- Keep offers rare and relevant: interior cleaning after the monsoon, or a wash before Diwali, not a weekly blast.
Know how broadcast lists work, too. WhatsApp's help centre says only people who have added you to their phone's contacts receive your broadcast, and each list holds up to 256 contacts. So at delivery, ask customers to save your studio's number. Each recipient gets the message as a normal one-to-one chat, and replies come only to you.
In some countries the app also offers paid marketing messages that can reach customers who have not saved your number. The opt-in rules above still apply.
When your studio outgrows the WhatsApp Business app
The free app works well while one or two people handle a manageable number of chats. Watch for these signs:
- Too many people on one number. The app lets you link up to four devices to your primary phone, and WhatsApp's features page says Meta Verified raises this to 10 devices and agents.
- Chats wait overnight or on busy days, and nobody is sure who should reply.
- Enquiries live only in the chat. You want every one saved to a sheet or CRM without copying by hand.
- Reminders depend on memory. Due dates slip when the studio is busy.
At that point you have two routes. The WhatsApp Business Platform, often called the API, is built for businesses messaging at scale and can connect to other software. It has its own rules: once 24 hours have passed since a customer's last message, you can send only pre-approved template messages. We compare the options in WhatsApp Business app vs API.
The other route is an AI employee, set up and run for you. An outside company's AI can only reply on WhatsApp through the Business Platform, so the same 24-hour and opt-in rules apply. It answers chats in Hindi or English, asks for the car model and service, books the inspection and sends you a summary of each chat.
Voz AI's AI employees handle WhatsApp along with calls and Instagram DMs. See how it works for this trade on the AI receptionist for car detailing studios page.
The bottom line
Treat WhatsApp as your studio's front desk, not a loudspeaker. Set up the Business app properly, use it at every stage of the job, ask before you send reminders or offers, and move to something bigger when one phone can no longer keep up. The customers you already have are often the easiest ones to bring back.
Frequently asked questions
Is the WhatsApp Business app free?
Yes. WhatsApp's own business FAQ describes the WhatsApp Business app as free to use, with limited customisation and integration with other tools. Optional extras, such as a Meta Verified subscription and, where available, paid marketing messages, cost money. It is built for small businesses talking to customers from a single device. The WhatsApp Business Platform, meant for medium and large businesses messaging at scale, is a paid service, so check current pricing before you move to it.
Can I send offers to all my customers on WhatsApp?
Only to customers who agreed to receive messages from you. WhatsApp's Business Messaging Policy says you may contact people only if they gave you their number and opted in, and that you must respect requests to stop. In the app, broadcast lists reach only people who saved your number. Keep offers rare and relevant, such as an interior-cleaning offer after the monsoon.
How many people can reply from one WhatsApp Business number?
WhatsApp's help centre says you can link up to four devices at a time to your primary phone, so a couple of team members can reply from a computer or another phone. WhatsApp's business features page says a Meta Verified subscription allows linking up to 10 devices and agents. If you need more than that, look at the WhatsApp Business Platform.
What is the difference between the WhatsApp Business app and the API?
The app is free and meant for small businesses replying from one phone and a few linked devices. The WhatsApp Business Platform, often called the API, is for businesses messaging at scale and can connect to other software. On the Platform, once 24 hours pass after a customer's last message, you can send only pre-approved template messages until they write again.
How often should a detailing studio message customers on WhatsApp?
Tie messages to the customer's car, not to your calendar. Booking confirmations, progress updates and delivery messages are expected. Reminders should follow the care schedule you agreed at delivery. Offers should be occasional and relevant to their car. If replies dry up or people ask you to stop, you are sending too much or the wrong thing, so cut back.
