Instagram DM Auto Reply for Business: Answer Leads in Seconds

By Abhishek Sharma · · 8 min read

Key takeaways

  • Treat every Instagram DM and 'price?' comment as a lead: the person is interested now and can message another business in seconds.
  • Instagram's built-in tools for professional accounts, such as saved replies and frequently asked questions, speed up replies but still need a person to hold the conversation.
  • Assistants connected through Meta's official API can reply only within 24 hours of a message and can send only one private reply to a comment, within 7 days.
  • A good DM assistant replies in seconds, saves each enquiry, steps aside when your team replies, flags complaints and never quotes prices.
  • Whatever tools you use, someone must own the inbox and answer comments the same day.

On Instagram, enquiries rarely arrive as neat forms. They arrive as "price?" under a reel, "details pls" in a DM, or a reply to your story at 11 pm. Each one is a person interested in what you sell, right now, with other businesses one tap away.

An Instagram DM auto reply for business makes sure every one of those people gets a fast, useful first reply, even when you are busy with customers. This guide covers Instagram's own tools, the rules Meta sets for third-party assistants, and what a good DM assistant should and should not do.

Why Instagram DMs and comments are leads

For many Indian businesses, Instagram is the shop window. A car detailing studio posts a before-and-after reel and gets comments asking about price and timing. A real-estate firm posts a project walkthrough and gets DMs asking for the brochure and the location.

These people have already done the hard part: they noticed you and asked. What happens next decides whether they become customers:

  • A reply within minutes reaches them while they are still looking at your post.
  • A reply the next day reaches someone who may already have messaged other studios.
  • No reply at all, under a public comment, tells everyone else scrolling past that you do not answer.

Treat Instagram DM leads exactly like phone enquiries. The only difference is that they arrived in writing.

Why reply speed matters on Instagram

Attention on Instagram is short. Someone who asks about a coating while scrolling at night has probably moved on to other reels within minutes, and perhaps to other studios.

There is also a hard rule behind the urgency. Meta gives third-party assistants fixed windows: 24 hours from a person's message to reply, and 7 days from a comment to send a private reply. Miss them, and the assistant cannot message that person again until they write to you. The details are in the table further down.

So a slow reply does not just lose attention. It can close the door.

Instagram's own tools for professional accounts

If you have a professional account, meaning a business or creator account, Instagram gives you built-in tools that help you reply faster:

  • A professional inbox. It helps you organise messages, with Primary and General tabs and message requests kept separate.
  • Saved replies. Shortcuts for answers you type again and again, such as your address, timings or how to book.
  • Frequently asked questions. A few common questions, with answers you write, that people can pick when they start a chat with you.

Set these up first. They cost nothing and are quick to do.

But they have limits. Saved replies still need a person to type the shortcut. Frequently asked questions only cover what you predicted. Neither asks a follow-up question, saves the lead's phone number to your sheet or alerts you when a serious buyer writes in at midnight.

Meta is also building its own AI for this. In June 2026, Meta said it is expanding Meta Business Agent, its AI that answers questions, books appointments and qualifies leads, to Instagram. It said getting started is free, and its paid Meta One plans, launched in September 2026, include more Business Agent responses. If it is offered on your account, judge it against the checklist further down.

How third-party Instagram assistants work

A third-party assistant connects to your Instagram professional account through Meta's official messaging API. (An API is the approved way for software to send and receive messages.) You approve the connection from your own account. You never share your password, and you should walk away from any tool that asks for it. Tools that serve accounts they do not own need what Meta calls Advanced Access.

The API comes with rules. These are the ones that matter most for a business, from Meta's developer documentation:

Meta's rule What it means for you
An assistant has 24 hours to reply to a message someone sends you. Replying in seconds keeps you well inside the window. After 24 hours, it must wait for the person to write again.
A person on your team can reply up to 7 days after the customer's message, using a "human agent" tag that needs Meta's approval. Late replies are for people, not bots.
Only one private reply can be sent to each comment, within 7 days of the comment. Reply to "price?" comments the same day, and make that one message count.
The private reply goes to the person's inbox if they follow you, and to their message requests if they do not. End with a simple question so they reply and the chat opens properly.
After a private reply, more messages are allowed only if the person responds, and within 24 hours of that response. No chasing people who did not answer.
Where the law requires it, a bot must tell people they are chatting with a bot, and Meta recommends doing this everywhere. Introduce the assistant as an AI assistant in its first message.

Meta updates these rules from time to time, so check its developer documentation before you rely on them.

Instagram DM auto reply for business: what a good assistant does

Meta's rules are the minimum. A good assistant should also:

  • Reply within seconds, day and night, so nobody waits.
  • Introduce itself as an AI assistant in plain words.
  • Ask one or two useful questions: which car and which service, or which project and what budget.
  • Save every enquiry, with name, phone number and interest, to a private inbox or sheet you can see.
  • Send one helpful private reply to people who comment a keyword such as "price" or "details".
  • Step aside when someone from your team replies, so the customer does not get two answers at once.
  • Flag complaints to a person instead of trying to handle them.
  • Never quote prices. The price of a coating, PPF or a flat depends on details. A wrong number in writing is hard to take back, so the assistant collects the details and a person gives the quote. This guide on how to reply to a price enquiry on Instagram shows replies that work.

Example: a first private reply to a "price?" comment

Here is an illustration for a ceramic coating reel. It says who is replying, explains why there is no instant number, and ends with a question so the person replies:

Hi! Thanks for asking about ceramic coating. I'm the studio's AI assistant. The price depends on your car model and paint condition, so which car do you have, and is it new or a few years old?

The same reply in Hindi:

Namaste! Main studio ka AI assistant hoon. Coating ka price car ke model aur paint ki condition par depend karta hai. Aapki kaunsi car hai, aur kitni purani hai?

When the person answers, the assistant saves their details and asks for a phone number, and a person from the studio takes it from there.

What a DM assistant should not do

  • Pretend to be the owner or a member of staff.
  • Send the same message again and again to people who have not replied.
  • Message people who never contacted you.
  • Argue with an unhappy customer, or hide their comment.
  • Ask for passwords, OTPs or card details in chat.
  • Keep replying after your team has taken over the conversation.

How to reply to Instagram DMs fast: a plan for this week

  1. Switch to a professional account if you have not already, so you get the professional inbox and tools.
  2. Write saved replies for your five most common questions, such as location, timings, services, how to book and "can I get a call?"
  3. Set up frequently asked questions for chats, with short and honest answers.
  4. Decide who checks the inbox, and when. Morning, afternoon and evening at a minimum, including message requests.
  5. Answer comments the same day. Reply publicly ("Sent you a DM!") and send the private message.
  6. Move serious leads to a call or WhatsApp once they share their number and agree to be contacted there.
  7. Track three numbers every week: DMs and comments received, how many got a reply within an hour, and how many became bookings.

If step 4 is where it breaks, because you are on the shop floor or out on site, that is the point where an assistant earns its place.

How Voz AI's Instagram assistant works

Voz AI's Instagram DM assistant replies in seconds and saves each enquiry, with name, phone number and interest, to a private inbox. When someone comments a keyword on your post, it sends them one private reply. It stops when a person on your team replies, flags complaints to a person and never quotes prices.

It is part of Voz AI's AI employee, which also covers phone calls and WhatsApp, and Voz AI designs, builds and runs it for you. See how the Instagram assistant works, or read what an AI employee is.

The bottom line

Every DM and "price?" comment is a lead with a clock running. Set up Instagram's free tools today, decide who owns the inbox, and answer comments the same day. If you still cannot keep up, add an assistant that follows Meta's rules, replies in seconds, saves every enquiry and steps aside the moment your team joins the chat.

Frequently asked questions

Is it allowed to auto-reply to Instagram DMs?

Yes, if it is done the right way. Instagram's own tools for professional accounts, such as saved replies and frequently asked questions, are built in. Third-party assistants must connect through Meta's official API with your approval and reply within Meta's time windows. Where the law requires it, Meta's rules say a bot must tell people it is a bot, and Meta recommends doing so everywhere. Avoid any tool that asks for your Instagram password.

Can I send a DM to everyone who comments 'price' on my reel?

Through Meta's official API, a business can send one private reply to each comment, within 7 days of the comment being made. It lands in the person's inbox if they follow you, or in their message requests if they do not. You can send more messages only if they reply, and within 24 hours of their response.

Do I need a professional account for Instagram DM auto reply?

Yes. Instagram's business messaging tools and Meta's messaging API are built for professional accounts, which means a business or creator account. You can switch in your account settings. A professional account also gives you the professional inbox, saved replies and frequently asked questions, so it is worth doing even before you consider any assistant.

How fast should a business reply to Instagram DMs?

As fast as you can, ideally within minutes while the person is still on your post. There is also a hard limit: assistants connected through Meta's API can reply only within 24 hours of the person's message. A practical target for a small team is to check the inbox at least three times a day, with an assistant covering the gaps in between.

Should my Instagram assistant share prices in DMs?

It is safer not to. Prices for services like ceramic coating, PPF or property depend on details such as the car model, its condition or the unit type, and a wrong number in writing is hard to take back. Let the assistant collect the details and phone number, and have a person or a call give an accurate quote.
