Real Estate Lead Follow-Up: A 21-Day Plan for Property Leads

By Abhishek Sharma · · 7 min read

Key takeaways

  • In real estate the first call rarely wins the deal; the follow-up does. So every lead needs a dated plan instead of a 'call later' note.
  • Do the intensive follow-up in the first seven days: that is when the enquiry is fresh, and TRAI's 2026 rules tie enquiry-based contact to that window.
  • After day 7, keep calling only buyers who asked you to stay in touch, and send WhatsApp updates only to people who agreed to receive them.
  • Every follow-up should carry something new: an answer, an option, a visit slot or an update. 'Just checking' wears out your welcome.
  • Stop immediately when a buyer says they are not interested or asks you not to contact them, and record it.

A good real estate lead follow-up plan answers three questions for every lead: when is the next contact, on which channel, and what new reason do you have to get in touch. Without that plan, follow-up depends on memory and mood, and that is where many property leads quietly die.

In my years in Gurugram real estate, deals were rarely won on the first call. Nobody buys a home worth lakhs or crores in one or two conversations. They were won by the broker who stayed in touch, usefully, until the buyer was ready.

Below is a 21-day plan you can copy into a sheet today, built around how Indian buyers actually decide, and around TRAI's 2026 rules on commercial calls.

Why follow-up decides property deals

Buying property is slow and shared. The buyer compares projects, involves family, checks a home loan and visits more than one site. Each of those steps is a moment when another broker can take over the conversation, or when the buyer simply goes quiet.

Follow-up is how you stay in the conversation. It fails in three common ways:

  • It stops too early. Two unanswered calls and the lead is marked "not interested".
  • It says nothing new. "Sir, any update?" gives the buyer no reason to reply.
  • It lives in one person's head. When a telecaller takes leave or quits, their follow-ups vanish.

First, the rule that shapes your plan

From late 2026, TRAI's amended rules on commercial communication treat a buyer's enquiry, made in writing or online (a portal form, a Meta lead form, your website form), as the basis for contacting them for seven days, provided you keep a verifiable record of that enquiry. The same amendment brings calls made by software or AI voices ("A2P calls") under clear declaration rules.

TRAI's seven-day basis covers an enquiry the buyer made to you, so leads a portal passes on from enquiries about other listings may not qualify; when in doubt, ask your telecom provider.

In practical terms: do your intensive follow-up in the first week, and before day 7 ask buyers whether they want you to stay in touch by call and WhatsApp. After day 7, call only those who said yes, and ask your telecom provider how to register that consent: under the amendment, consent you collect yourself counts once it is registered in the operators' consent register. Use the number series your provider confirms for your calls.

We explain the rules in more detail in our guide to AI calling rules for real estate. This is general information, not legal advice.

The 21-day real estate lead follow-up plan

Phase 1: the first week (days 0 to 7)

This is when the enquiry is fresh and your best window to book a site visit.

Send the WhatsApp steps only to buyers who agreed to WhatsApp messages, on your form or on the call.

Day Channel Goal What to do
0, within 5 minutes Call First conversation Qualify and offer two site-visit slots
0, if unanswered WhatsApp (if they opted in) Be recognised Your name, firm, the project they asked about, when you'll call
0, evening (before 9 pm) Call Second attempt Many working buyers answer only after office hours
1 Call + WhatsApp Connect and qualify Try a different time of day; ask "Can I send the details on WhatsApp?" and share location and floor plan
2 Call Book the visit Offer weekend slots; ask who else in the family should come
4 WhatsApp Add value A short video walkthrough, location advantages, or answers to their questions
6 Call Last call of the week Check what they've seen elsewhere; offer a visit slot; ask if they want you to keep in touch by call and WhatsApp
7 WhatsApp Close the loop Summary of options discussed, and a clear "reply YES if you'd like me to keep in touch"

One limit: under TRAI's rules, promotional calls are switched off by default between 9 pm and 10 am, unless the person has chosen to receive them in those hours. For an enquiry that arrives late at night, send a WhatsApp acknowledgement if the buyer opted in, and call when your calling window opens. Ask your telecom provider how your calls are classified. This is general information, not legal advice.

Two habits make this phase work:

  1. Speed on day 0. The first minutes matter most. Our guide to lead response time explains why.
  2. A visit slot in every conversation. Ask a choice question: "Saturday 11 am or Sunday 4 pm?". Our guide on how to convert leads into site visits has more on this.

Phase 2: days 8 to 21, only for buyers who want it

After the first week, slow down and switch from chasing to helping. Contact only buyers who asked you to stay in touch, and give them a reason every time. WhatsApp's own business policy also requires that people opt in to your WhatsApp messages and that you stop when they ask.

Day Channel Goal What to do
10 WhatsApp Relevant option A unit or project that matches their budget and location
14 Call (only with consent registered as above) Understand the delay Ask what's holding them back: price, loan, family, possession date
17 WhatsApp Remove the blocker Payment plan, loan contacts, possession update, a comparison they asked for
21 Call (consent registered) or WhatsApp (opted in) Decide the next step Book a visit, or agree a monthly update and a date to speak again

After day 21, keep willing buyers on a monthly update: new launches, price or payment-plan changes, possession news. Keep it short, keep it relevant, and stop the moment they ask you to.

Follow-up messages you can copy

Short, specific and in the buyer's language works best. Some examples:

Day 0, missed call (WhatsApp, for buyers who opted in on your form):

Hi Rohit ji, this is Neha from ABC Realty. You enquired about 3 BHK options at [project] a few minutes ago. I'll call you back at 7 pm, or reply here with a better time.

Day 4, value (WhatsApp, if they opted in):

Rohit ji, here is a 60-second video of the 3 BHK sample flat and the view from the 12th floor. Sunday 4 pm is open for a visit if you'd like to see it in person.

Day 7, asking permission (WhatsApp, if they opted in):

Rohit ji, thank you for your time this week. Would you like me to keep in touch by call and WhatsApp when a unit in your budget opens up? Reply YES and I'll keep you posted. If not, no problem at all.

Day 14, understanding the delay (call, with registered consent):

"Rohit ji, aapne options dekhe the. Abhi decision mein kya cheez ruk rahi hai: budget, loan, ya family ki visit?"

Rules for follow-up that doesn't annoy

  • Bring something new every time. An answer, an option, a slot, an update.
  • Vary the time of day. Evenings (before 9 pm) and Sundays work for many working buyers.
  • Match the channel to the job. Calls for conversations and bookings; WhatsApp for documents, locations and reminders, once the buyer has said yes to WhatsApp.
  • Record every attempt and outcome in one shared sheet or CRM, so follow-up survives leave and resignations.
  • Respect "no". When a buyer says they are not interested or asks you not to contact them, stop and mark it. It protects your reputation, and once a buyer says stop, TRAI's enquiry basis for contacting them ends. This is general information, not legal advice.

What to track

  • Leads that received every planned contact in the first week.
  • Buyers who agreed to stay in touch.
  • Site visits booked in week one versus weeks two and three.
  • Visits and bookings that came from follow-up rather than the first call.

That last number often surprises owners. It shows how much business sits in the follow-up you were not doing.

Where an AI calling agent helps

The first week is where many small offices fall behind: the instant first call, the evening retry, the visit confirmation, the reminder. An AI calling agent for real estate handles those on schedule, in Hindi or English, asks buyers whether they want you to keep in touch, and writes every answer to your sheet. Your team handles the conversations that need a person. Calls made by software still have to follow the rules above, so set it up with your telecom provider's declaration in place.

The bottom line

Follow-up wins property deals, but only when it is planned, useful and respectful. Work hard in the first seven days, ask permission to stay in touch, then keep helping the buyers who said yes. Put the plan in a sheet, give every lead a next date, and you will lose fewer buyers to brokers who simply called one more time.

Frequently asked questions

How many times should you follow up with a real estate lead?

There is no magic number. In the first week, several call attempts at different times plus WhatsApp messages (if they opted in) are reasonable for a buyer who enquired. After that, follow up at a slower pace, and only with buyers who agreed to hear from you. Stop as soon as someone says no.

What should I say in a real estate follow-up message?

Something useful and specific: the answer to a question they asked, a unit that fits their budget, a site-visit slot this weekend, or an update on possession or payment plans. Mention the project they enquired about, and keep it to three or four lines.

How long should I keep following up a property lead?

As long as the buyer is willing. A home purchase can take weeks or months, often involving family and a loan. Before the first week ends, ask permission to keep in touch, record the answer, and move willing buyers to a monthly update.

Can I follow up real estate leads by WhatsApp instead of calling?

Yes, and many buyers prefer it for documents, locations and updates. Use calls for conversations and visit booking, and WhatsApp for information and reminders. Send updates only to people who are happy to receive them, and honour any request to stop.
