Key takeaways
- Call every new property lead within 5 minutes. The research on lead response shows the odds of reaching and qualifying a lead fall sharply within minutes.
- Property buyers in India often enquire on several projects at once, so the first proper conversation can decide who gets the site visit.
- Measure your real response time from the enquiry timestamp, including evenings and Sundays, not just office hours.
- Speed only works with persistence: several attempts on day one, a WhatsApp introduction for buyers who opted in, then a planned follow-up.
- One way to reach 5 minutes on every lead, including evenings and Sundays, is an AI calling agent that makes the first call and hands ready buyers to your team.

Lead response time is the time between a buyer's enquiry and your first real conversation with them. For real estate, the target is simple: call every new lead within 5 minutes, including evenings and Sundays. The research below shows why minutes, not hours, make the difference, and the rest of this guide shows how a small office can actually hit that number.
What the research says about lead response time
Two studies are quoted widely, often wrongly. Here is what they actually found.
Harvard Business Review, 2011. The researchers sent test enquiries to 2,241 US companies and measured how long each took to respond. Only 37% responded within an hour, 23% never responded at all, and the average response time among companies that replied within 30 days was 42 hours. Using a separate dataset of 1.25 million leads at 42 US companies, they found that firms which tried to contact a lead within an hour were nearly 7 times as likely to qualify it (have a meaningful conversation with a decision maker) as firms that tried even an hour later, and more than 60 times as likely as firms that waited 24 hours or longer.
The Lead Response Management Study, 2007. Dr. James Oldroyd and a US sales-software firm analysed three years of data from six companies. Calling within 5 minutes instead of 30 made the odds of contacting a lead 100 times higher, and the odds of qualifying it 21 times higher.
Two honest caveats. The HBR data came from US companies, the 2007 study does not say where its six companies were based, and both measured contacting and qualifying leads, not final sales.
You will often see the "100x" figure quoted as "100 times more sales". That is not what the study found. But the direction is clear: the longer a lead waits, the harder it is to reach and qualify.
Why speed matters even more for property leads in India
Property enquiries have a few features that make the first minutes especially valuable:
- Many buyers enquire on several projects at once. On 99acres, Magicbricks or Housing.com, one buyer may click "contact" on five listings in ten minutes. Several brokers may call. The first useful conversation can set the shortlist.
- Meta lead forms are filled on a phone, in seconds. Ten minutes later the buyer is back on Instagram and may not remember the form. Our guide on why Facebook leads stop answering has the fixes.
- Many enquiries arrive after office hours. Working buyers browse in the evening and on weekends. Sunday is a main working day for most real-estate offices, and buyers enquire then too.
- Unknown numbers often go unanswered. The longer you wait, the less likely the buyer connects your number with their enquiry.
In my years in Gurugram real estate, most offices I knew did not have a lead problem. They had a speed and follow-up problem: the first call came late and the follow-up stopped early.
How fast should you call a real estate lead?
Aim for these targets:
| Target | Why |
|---|---|
| First call within 5 minutes | The buyer still has your listing open |
| WhatsApp introduction within 5 minutes if unanswered (to buyers who opted in to WhatsApp) | Your next call is recognised, not ignored |
| 3 or more attempts on day 1, at different times | Many buyers are busy, not uninterested |
| A dated follow-up plan if not ready | A property decision takes many conversations |
The 5-minute target applies every day, including evenings and Sundays. A lead that arrives at 8 pm on a Sunday and gets a call at 11 am on Monday has waited 15 hours.
One limit: under TRAI's rules, promotional calls are switched off by default between 9 pm and 10 am, unless the person has chosen to receive them in those hours. For an enquiry that arrives late at night, send a WhatsApp acknowledgement if the buyer opted in, and call when your calling window opens. Ask your telecom provider how your calls are classified. This is general information, not legal advice.
How to measure your lead response time in real estate
It is easy to believe you respond in minutes. Your timestamps will tell you if you do. Measure it for two weeks:
- Record the enquiry time of every lead (portals and Meta show it; for website forms, log the submission time).
- Record the time of the first call attempt and whether it connected.
- Calculate the gap for every lead, and the share answered within 5 minutes.
- Split by hour and day. Look at evenings, lunch hours, Sundays and days when someone was on leave. That is where the gaps hide.
How to get your response time under 5 minutes
You do not need a big team. You need leads to reach the right phone instantly and someone, or something, responsible for the first call.
Send every lead to a phone the moment it arrives
Portal apps, Meta lead ads and website forms can all notify a phone or update a shared sheet in real time. If leads sit in an inbox or a portal dashboard until someone checks it, you have already lost the first minutes.
Give one owner the first call, and cover the gaps
Decide who makes the first call during office hours, and who covers lunch, evenings and Sundays. Write it down. Without an owner, every lead is "someone else's job".
Acknowledge instantly when you cannot call
If nobody can call within 5 minutes and the buyer agreed to WhatsApp messages, send an instant WhatsApp acknowledgement with your name, the project and a time you will call. Add a WhatsApp opt-in to your own forms so this is possible. It is not as good as a conversation, but it beats silence.
Let an AI calling agent make the first call
It covers the gaps people cannot: lunch hours, Sundays and days when a telecaller is on leave. An AI calling agent for real estate calls each new lead within seconds, asks the qualification questions in Hindi or English, books the site visit and writes the outcome to your sheet. Your team then calls the buyers who are ready, with the conversation summary in front of them.
Speed is the start, not the whole job
A 30-second response time does not help if the lead is never called again. Fast first contact gets you into the conversation; persistence wins the visit. After the first call:
- Qualify properly: our guide to qualification questions for Indian property buyers lists what to ask.
- Offer a fixed site-visit slot on the call, not "whenever you're free".
- Put every buyer who is not ready on a 21-day follow-up plan.
One more point: calling someone minutes after they asked you to is very different from cold calling a stranger, but India's telecom rules still apply to commercial calls. We cover the basics in our guide to calling rules for real estate.
The bottom line
Both studies point the same way: the longer a lead waits, the harder it is to reach and qualify. Measure your real response time, including evenings and Sundays, then close the gaps with instant alerts, a clear owner for the first call, or an AI calling agent that makes the first call within seconds. Five minutes is the target. Seconds is better.
Frequently asked questions
What is the 5-minute rule for leads?
It is the practice of contacting every new lead within five minutes of the enquiry. It is often traced to the 2007 Lead Response Management Study by Dr. James Oldroyd, which found the odds of contacting a lead were 100 times higher, and of qualifying it 21 times higher, when called within 5 minutes rather than 30.
Is calling within 5 minutes realistic for a small real-estate office?
Yes, if leads reach a phone the moment they arrive and someone owns the first call. Look for the gaps in the evening, at lunch, on Sundays and when a telecaller is on leave. Cover those gaps with a rota, instant alerts, or an AI calling agent that makes the first call.
What should I do if the lead does not pick up?
Try again at a different time of day, and make several attempts on the first day and the next. If the buyer agreed to WhatsApp messages on your form, send a short WhatsApp saying who you are and which project they asked about, so your next call is recognised. Many buyers are driving or in meetings, not uninterested.
Does response time matter for 99acres and Magicbricks leads?
It matters even more. Portal buyers often enquire on several listings, so several brokers may call them the same day. The broker who has the first useful conversation, not just the first ring, often gets the site visit. So call within minutes, ask the qualification questions on that first call, and offer a fixed site-visit slot before you hang up.
